A professional and experienced Personal Assistant is required for a private family. Our client seeks a candidate with a “can-do” attitude, who is flexible, hardworking and energetic. You must be able to work from home and have the flexibility travel with the principal as and when.

Duties will include

  • acting as a first point of contact: dealing with incoming email, post and phone calls
  • managing extensive diaries, scheduling meetings and appointments, often controlling access to the manager/executive
  • making international travel arrangements including visa, transport and accommodation
  • facilitating events and conferences
  • reminding the manager/executive of important tasks and deadlines
  • typing, compiling and preparing reports, presentations and correspondence
  • managing expenses, databases and filing systems
  • implementing and maintaining procedures/administrative systems
  • liaising with staff, suppliers and clients.

The role will require you to have the ability to prioritise tasks and work in a proactive manner.

Duties will include:

  • Acting as the first point of contact

  • Booking and arranging travel to include transport, accommodation, restaurants
  • Liaising with a full team of staff and delegating / sharing information to the team on behalf of the principal

Essential Requirements: Previous Private House Experience, Fluent Russian with a good level of English and French, Organised, Flexible and Self-sufficient.

An experienced Personal Assistant is required for a private client based in Monaco. It is essential that you have previous experience working in a similar position.

Duties will include:

  • Receiving and answering all calls regarding requests and assignments for the principal
  • Organising the meeting agenda of the principal
  • Informing the heads of departments of upcoming meetings, assignment deadlines, new desires or tasks, etc.
  • Handling all physical and electronic correspondence of the principal. If applicable, managing social media accounts.
  • Translating of texts, letters, e-mails, etc. Interpreting during meetings or in contact with residence staff
  • Booking of restaurants, hotels, transport over land, see and air, exclusive locations, etc.
  • Sourcing of materials such as clothing, accessories, furniture, decorations, art, presents, etc.
  • Creating personal contacts with sales representatives of the most interesting brand for the employer
  • Organising events in cooperation with the Operations Manager and Director of Household
  • All work performed needs to be encoded in the Household Management System
  • Encoding any papers, receipts, invoices, etc. that have to do with any activities of the principal, to report to the Operations manager and Director of Household
  • Running tasks for the principal. This includes, but is not limited to sending, receiving and picking up parcels, shopping, delivering items to certain places or people, etc.
  • Traveling together with the principal and accompanying during meetings and events, organising the visits, acting as a spokesperson when needed, taking notes for the principal, encoding them in the computer and file them, taking care of last-minute requests, and all other assignments that can arise when dealing with the principal directly.
  • The same duties need to be performed in the chalet in Courchevel during the winter season. The time spent here will count as normal working time.

This is a full time position based in Monaco with travel to Courchevel, thus flexibility to travel is essential. Immediate start. Negotiable salary based on experience. (HU4000)

RESIDENTIAL BUTLER/HOUSEMANAGER/GENERAL FACTOTUM/ PA
SOUTH AFRICA – NOORDHOEK

Required for wonderful, important, privately owned residence, with fabulous gardens and extensive grounds, set high up in the mountains with ocean views.

The residence consists of a beautifully renovated main house with 4 guest houses (which are rarely filled). There are about 20 garden staff including Head gardener employed and 2 permanent staff in house, including the butler/house manager and a housekeeper. (Seasonal staff contracted in as extras as and when needed include a Chef and second housekeeper.)

The position is uniformed & hands-on and while it is a more senior post, assisting the housekeeper in a hands-on manner is required, as well as supervising the seasonal housekeeper & contracted casual staff.

Ability to lay up and serve at table, serve drinks and canapés and also to meet and greet guests is important.
You should have excellent Personal Assistant skills and be computer literate, able to submit accounts at the end of the month in Excel to the accountant.

Ability to organise contractors, vendors, and act as general Household Manager, reporting to the clients when they are not in residence.

You must be a driver, willing to drive the employers’ prestigious cars and their guests occasionally and there is a car available for work related chores.

Clients maintain other foreign homes, so are in residence usually November through April with other occasional trips. Dog lover is essential.
