LIVE-IN HOUSE MANAGER
Duns, Scottish Borders 
Shooting Estate - Rural Location

An experienced House Manager is required to ensure that the Lodge is maintained to the highest standard possible at all times.  The Lodge should always be kept in a state of preparation for occupancy, allowing family/guests to arrive at short notice.  It is, therefore, essential that the person in this role is able to oversee all roles and ensure the Lodge is impeccable.  Our aim is to run the Lodge as though it is a 5* hotel and expect to exceed this level of service for the Principal and Family.

You should develop a well-ordered routine for daily tasks during family visits, and an in-depth program to include specific tasks when the house is unoccupied.  You will be working alongside other household staff, whilst maintaining a sunny, and upbeat yet professional disposition.  You will act as the key contact for the principal as well as her Office for all things relating to the Lodge.

This is a beautiful shooting Estate, and staff must be comfortable with taxidermy in the Lodge.

Must be able to drive.  Please note, this role is in the Borders of Scotland with the nearest village being 10 min drive.

Hours of Work

Principals not in residence: Monday to Friday 08:00 to 16:00 with 5 days on and 2 days off out of 7.  Generally, Mon – Fri.

Principals in residence: Whatever hours are required to fulfil the criteria of the position.  It is understood that weekends may be worked when Principals are in residence

Duties (not an exhaustive list)

General Responsibilities

  • Reporting directly to the principal
  • Full management of the Lodge staff
    • Rotas
    • Holidays/lieu days
    • Staff reviews and to ensure that all HR requirements are met
    • Full ‘hire and fire’ rights of the house staff
    • Internal staff training as required
    • Running of morning meetings to ensure Lodge staff are up to speed
    • Diary management of the Lodge
    • Full email management and Lodge communications
  • Weekly update calls with the principal and her office when not in residence. Face to face reporting when the principal is in residence
  • Full management of the Lodge
    • Budget setting and reporting
    • Arranging trades and staff to keep the Lodge maintenance fully up to date
    • Ensuring vehicles are in full working order, tax/MOT/service etc
    • Ensure a full knowledge of every aspect of the Lodge – become the ‘go to’ person
    • Management of suppliers, and review of suppliers to ensure we have the best deals and service
    • Liaising with outsourced management company for invoice paying
    • Ensure that oil/gas etc is always delivered
    • Room checks and full Lodge checks to find and solve issues, before they are noticed by the principal
  • Other buildings
    • Regular 6 monthly checks of staff accommodations – to be introduced
    • Check-in and checkout of staff accommodation when someone joins or leaves
    • Checks on all other properties on the estate, inclusive of lunch huts, empty properties
    • Ensuring that all other buildings are kept in pristine condition
  • Shoot season
    • Ensure the smooth running of the Lodge during shoot season when there is regularly a ‘full house’
    • Liaising with the London office for guest information and timings
    • Hiring of seasonal staff and training (as required)
    • Liaising with the Head Keeper as required and ensuring guests receive their shoot cards on the morning they are due to leave
    • Running of day rotas to suit the need and to ensure there are staff present in the Lodge at all times
  • Actively review procedures and processes to ensure we are working as efficiently as possible
  • Creation and maintenance (alongside the Butler and the Cook), guest information sheets of preferences
  • Driving as required, collecting from station/airport
  • This a ‘roll up your sleeves’ position, and will help staff with tasks whenever required

Fulltime position with accommodation provided (all utilities included).  Salary £42,000. 28 days holiday inclusive of bank holidays, statutory pension. (HU3969)
