A new opportunity for a private family based in Dubai seek a highly experienced PA to work for the family office, ideally the family seek a candidate who is based in Dubai; however, they will consider candidates who are based in London and happy to travel to Dubai as needed. If this is the case, you will need to be fully of aware of time differences and maintain the ability to be available.  

Your main schedule will be Monday to Friday 10 hours a day. There will be times when you will be required to work outside these hours so you must be flexible. The principals are respectful of your time.  

Your duties will include but not be limited to 

·       Managing the principal’s day to day diary.

·       Manage their personal schedule when travelling and when they are in their main residence. Including meetings, events, personal appointments and social engagements.

·       Adjust schedules to accommodate time zone changes when they travel, along with any last minute changes

·       Travel arrangements which will include private and commercial flights. Researching hotels and holiday resorts for the family to stay.

·       Book restaurants, theatres, and activities for the principals and the children

·       Liaise with both business and personal contacts for business and pleasure events

·       Help organise events, dinner parties and children’s parties. Liaise with suppliers to arrange catering, décor and invites

·       Record all expenditure. Travel, staff, expenses, household supplies etc.

·       Inventory expenditure

·       Liaise with contractors for household repairs and any building work

·       Contact utility companies to negotiate rates

·       Household staff recruitment which will include housekeepers and child carers.

·       Book doctors and dental appointments

·       Liaise with the children’s schools and deal with any school trips and events

·       Research schools for them to attend in the future

·       Assist with purchases from household appliances to cars

·       Respond to emails

·       Pay bills 

This is a role for someone who has a strong little black book of contacts or is confident finding the best suppliers, contractors and agents to work with. Establishing and maintaining relationships with service providers, vendors and international suppliers.  Someone who understands the importance of handling personal and business matters with the utmost professionalism and confidentially. You will be managing sensitive documents and must ensure that these are kept secure.  

You must be confident using an Apple Mac, Word, Excel spreadsheets and PowerPoint. Strong communication skills. Highly organised and the ability to multitask. It essential that you can work independently, be proactive and able to think outside the box.  It is essential that you have a proven track record working in a similar role and use to travel. (sometimes at short notice).

Full-time position working Monday-Friday, 10 hours per day with flexibility. Salary negotiable based on experience, circa £70,000-£85,000 GPA. ASAP start. (HU4317)
